DIY Accounting Small Business Accounting Software Questions And Answers
A number of questions are asked by clients either before purchasing or after downloading the accounting software. Many of these questions and the answers are the same the most typical of which are produced here.
Why is the monthly profit and loss account not updating from the sales and purchases entered.
Updating the profit and loss account in the financial accounts file is automated. If the financial accounts file is not updating automatically the links from the sales accounting spreadsheet and or the purchase accounting spreadsheet are not working. This may be because the file names have been changed which breaks the links between the files.
The most common reason is the way the files were originally saved when initially downloaded from the website by opening the files first before saving them. When a file is opened first before saving the computer stores that file in a temporary internet folder and changes the links to temporary links within that temporary folder.
When that file is then saved it is those temporary links which are being saved and not the original links. Those temporary links would not be recognised by the other files which form the link structure. The solution is to delete the files and save the files again direct to your accounts folder without opening them first thereby preserving the original links.
Accounting entries on sales and purchases appear on the profit and loss account but do not appear on the list of expenses on the self employed tax return.
The self employed tax return required to be completed in the UK is dependent upon the sales turnover. Small business with total sales income exceeding 64,000 pounds for the financial year ending 5 April 2008 are required to complete the full self employed tax return while businesses with a turnover under 64,000 pounds may complete the short version of the self employed tax return.. Coincidentally the threshold is the same as the vat threshold.
In addition if the sales income is less than 30,000 pounds then it is not necessary to complete all the individual expense classifications. The excel formulae within the financial accounts file automatically fill in the short or full tax return and only fill in the detailed expense classifications if required to do so.

Producing a balance sheet is optional for self employed small business and not an essential requirement of completing the self employed tax return. The self employed package is based upon single entry bookkeeping and does not produce a balance sheet which requires double entry bookkeeping while the limited company package does produce a balance sheet as it is a legal requirement for a limited liability company.
As the self employed accounting software includes sales and purchase spreadsheets and also cash and bank spreadsheets it is possible to manually produce a balance sheet if required but the accounting software does not produce it automatically.
Do I purchase a new software package each financial year or can the accounting software be updated for more than one year accounts.

If you are a small business owner, you either have an accountant or you are an accountant. Either way, choosing the right accounting software is an important business decision. Some of the most important brands include Quickbooks and Peachtree.
Here are some of the important features to look for:
Adaptability: Small businesses in particular tend to change over time, and you need to make sure that the software you are buying today will be just as useful tomorrow. Are upgrades offered? How much trouble and expense is required to upgrade? How often are upgrades offered? Today’s software is likely to be obsolete in 5 years.
Support: How much support is offered? How effective is it? Is local service available or will you be restricted to dealing with a call center in India?
Price: Software packages vary greatly in price, not only among brands but also among merchants. Choose an appropriate package and then shop around for the best deal.
User Friendliness: How easy is it to use? If you are a sole proprietor, try using it yourself. Otherwise, have your accountant try using it and get his/her opinion.
Features: Don’t pay for features you don’t need, but look ahead 5 or 10 years when deciding which features you’re likely to need. If you don’t need them now, you can always check and see if your package can be easily upgraded to add features you may need in the future.

3 Common Mistakes When Choosing Small Business Software
1) Not Seeing the Future
Small business software can be tricky when it comes to buying different licenses. As your company grows, your software needs to be able to grow right along with it. Take a customer database for example. At first you have just a few clients, easily manageable with a small, free piece of software or even a spreadsheet. Suddenly, you have hundreds of clients with vital data to store regarding each one. Your software is overloaded and your spreadsheet looks like a bowl of Japanese alphabet soup. When you are choosing the software for your company, choose a software that is designed not just for small businesses, but mid sized businesses as well. Make sure that if it designed to hold employee data, that it can hold an unlimited number of employees without having to buy extra licenses. Also, if there are different levels of licenses available, don’t restrict yourself with a lower license just to save a few bucks, buy a license that will give you room to expand a little without breaking your budget.
2) No Support or Expensive Support
The software you will be using to run your small business will hold very important, time-sensitive information. Be it an invoice or payroll, the slightest computer glitch can cause your employees to be upset, customers to request refunds, and most importantly, money to be lost. When a server goes down the last thing you want to hear is your 20 year old tech guy say, “Sorry dude, looks like your data is pretty much toast.” Choose software that has a solid phone support system. Email support is affordable, but it usually takes 24 hours to get a reply. If your business is worth $200 an hour, how much is that really costing you? On the flip side, don’t pay an arm and a leg for phone support. Annual fees of $100-$200 are about average with per incident fees running about $50-$80 a pop. If someone wants to charge $200+ per incident or per hour for phone calls, be very weary. Their software better be perfection on a screen if it’s going to be worth it.
3) Not Trying it Before You Buy
What is the safest way to make sure you get the software you need with all the features your business demands? Download a demo BEFORE you buy! Nearly all software can be tried before you make a decision to purchase. If you don’t see a clear way to download a demo from their website, give them a call and request one. If they don’t offer one, ask them why and, unless they have a really good excuse, pick up the search again for your software. Demos are great for a lot of reasons. First, you can make sure that the data is compatible with your other programs (i.e. payroll with time tracking). Second, this gives you a chance to test it on your network and operating system to ensure full capability. Third, you can test their support when you encounter issues. If they are unwilling to help you get the demo running, this may be a sign of “monetary myopia” where they only help you once you have given them money. Not only does this show a sign a poor customer service but it shows a lack of confidence in their product.
