DIY Accounting Small Business Accounting Software Questions And Answers

A number of questions are asked by clients either before purchasing or after downloading the accounting software. Many of these questions and the answers are the same the most typical of which are produced here.


Why is the monthly profit and loss account not updating from the sales and purchases entered.


Updating the profit and loss account in the financial accounts file is automated. If the financial accounts file is not updating automatically the links from the sales accounting spreadsheet and or the purchase accounting spreadsheet are not working. This may be because the file names have been changed which breaks the links between the files.


The most common reason is the way the files were originally saved when initially downloaded from the website by opening the files first before saving them. When a file is opened first before saving the computer stores that file in a temporary internet folder and changes the links to temporary links within that temporary folder.


When that file is then saved it is those temporary links which are being saved and not the original links. Those temporary links would not be recognised by the other files which form the link structure. The solution is to delete the files and save the files again direct to your accounts folder without opening them first thereby preserving the original links.


Accounting entries on sales and purchases appear on the profit and loss account but do not appear on the list of expenses on the self employed tax return.


The self employed tax return required to be completed in the UK is dependent upon the sales turnover. Small business with total sales income exceeding 64,000 pounds for the financial year ending 5 April 2008 are required to complete the full self employed tax return while businesses with a turnover under 64,000 pounds may complete the short version of the self employed tax return.. Coincidentally the threshold is the same as the vat threshold.


In addition if the sales income is less than 30,000 pounds then it is not necessary to complete all the individual expense classifications. The excel formulae within the financial accounts file automatically fill in the short or full tax return and only fill in the detailed expense classifications if required to do so.


Does the package produce my quarterly vat returns when a vat flat rate scheme is being operated.


The user guide contains notes on how to enter the value added tax flat rate percentage on the sales bookkeeping spreadsheet. The bookkeeping single entry of the flat rate vat percentage on the sales sheet updates throughout the package including the subsequent months on the sales sheet and also each month on the purchases bookkeeping spreadsheet automatically calculating value added tax at the flat rate percentage and expenses value added tax paid on purchases at the zero vat rate producing a quarterly vat return.


Does the self employed accounting software package produce a balance sheet.


Producing a balance sheet is optional for self employed small business and not an essential requirement of completing the self employed tax return. The self employed package is based upon single entry bookkeeping and does not produce a balance sheet which requires double entry bookkeeping while the limited company package does produce a balance sheet as it is a legal requirement for a limited liability company.


As the self employed accounting software includes sales and purchase spreadsheets and also cash and bank spreadsheets it is possible to manually produce a balance sheet if required but the accounting software does not produce it automatically.


Do I purchase a new software package each financial year or can the accounting software be updated for more than one year accounts.


As the accounting software and payroll packages include the current financial year tax rules that enable the financial packages to automate the production of that years tax returns then each year has new tax rules embedded and being on excel rather than an accounting database then it is necessary to purchase a new accounting or payroll package each year.

Using Newspaper and Magazine Advertising for your Internet Business

Newspapers/magazines are, of course, two of the most traditional methods to advertise businesses both big and small. So why should you use a newspaper or magazine to advertise your ONLINE business? A bit contradictory isn’t it?

Not really because despite the fact that these mediums are losing out to some online advertising they are nevertheless still important.

As internet marketers we should consider all options and this is one that tends to be overlooked by the internet fraternity.

What then are the advantages and disadvantages of advertising by these methods? Let us take NEWSPAPERS first:-

Advantages:-

Leaving aside the use of articles or press releases (excellent tools but not the subject of this article) the advantage of using a newspaper is that you can use either short “to the point” classified ads or long descriptive text. Obviously there is a different price structure and it depends how deep your pockets are, the type of product and the market you are aiming at but the possibilities are there.

You are able to reach a large number of people in a given geographical area either locally or even nationally.

An often overlooked advantage is that the reader can return as many times as they like to study your advertisement again and again.

In most cases the ad can be in the hands of your potential customer very quickly.

There is a wide choice of newspapers in different areas and depending on various factors (such as the size of readership/market penetration) there is a large choice of pricing possibilities.

Disadvantages:-

Using this method of advertising can work out expensive especially when compared with some of the internet methods.

Your ad is usually put in with a lot of others which means it can be overlooked.

Despite my comments above about the reader returning to read your ad again in most cases newspapers have a short “shelf life” and are often only read once.

Your advertising is of the “shot gun” type in that many people will not have an interest in your product.

Often the reader skips over the advertisements preferring to read articles.

MAGAZINES have certain advantages and disadvantages when compared to newspapers

Advantages:-

Because they tend to be more focused on a specific area e.g. sport, fashion etc. it is possible to target your advertisement. For example if you are promoting a product of interest to snowboarders you can choose a snowboarding magazine. Alternatively you could consider one based on winter sports in general. The choice for targeting is much greater.

As the reader is specifically interested in articles written in an area of great interest to them they are more susceptible to ads for products in that niche and therefore more likely to respond.

In general magazine ads tend to be better presented on more quality paper and hence look more professional.

Disadvantages:-

It is likely to work out more expensive than newspaper advertising particularly if choosing a prominent position in the magazine.

There can be a greater lead time before your ad is published and therefore it could be overtaken by events.

As with all forms of advertising the art is to experiment with strict controls in place.

So certainly newspaper/magazine advertising should be considered for your campaigns especially since these methods seem to be overlooked by many of your competitors.

Advertising When the Time is Right


There are so many tips and suggestions when it comes to having the right advertising for your business, or what you can do to maximize your marketing campaign. Whether online or offline, sources are rich with advice and recommendations on how you can better improve your promotional ads.

Most would be talking about how to increase response to your marketing materials; or how to choose the right postcard printing company for example. Still, many are talking about improving your design and content so you can have more effective collateral that can attract your target clients’ attention.

But one thing that has many marketers and business owners fail to remember is the advice on when is it the right time to advertise. In fact, this particular tip has been forgotten and is rarely mentioned in the marketing circles.

Organizing and implementing more than one ad at a time is not the best idea.

This is one advertising tip that has been forgotten with all the hype done on getting your marketing materials more effective and successful.

And while it’s probably a good idea to expose your target clients to as many ads possible at one time, you must also realize the money, not to mention the effort and time it takes to do everything all at once. And even if you’re running them all at the same time, do you think you’re gaining the right amount of exposure?

Rather than exposing your business with too many ads all at one time, consider spacing out each of your ads and do it one at a time. You know why? Because you have better chances of catching your target clients at the right time that they have decided on purchasing your product or service. If they’re not ready yet to buy from you, giving them time to take a closer look at your ads and even to fill out and return your postcards for example, can get you the opportunity to be recognized and retained by your target clients.

Moreover, spreading out your budget to accommodate regular marketing exposure rather than doing it all in one time, means having your target clients see you on a regular basis. The more times they see your ad, the better your chances of being remembered. Especially when it’s the right time for your target clients to buy from you.

Nevertheless, I’m not saying that you should forget about running different ads at one time. Sure, you can reach out to as many clients as possible. And if you have the budget, why not go for it. As long as you get the results you want, then use the method that is most appropriate for your needs.

Sadly, this means a bit of work because there are too many scams on the internet. Should you come across anything that you feel is not right then take a little time and report them to the BBB in order to make sure that others following in your footsteps may also avoid home business scams.
